Become a part of our international Operations team in Manila, Philipines. For the next possible date we are looking for you in fulltime as Office Assistant.
Your duties and responsibilities will include:

Handle petty cash float of the company as well as creating a monthly spreadsheet summary

Handle office administrative stuff - e.g. Renewal of office lease or expansion of office, copier lease (to consult IT SIN or HQ prior to engaging copier vendor as they only allow certain brand of copier to be used globally

Purchases of office supplies - eg stationeries, water and beverages, toiletries, and furniture for entire office

Responsible for organizing office events as well as working frequently with QHSES regarding reports of staff leave, utilities, etc.

Responsible in getting company registration certificate, miscellaneous documents, and credit/bank term from all new supplier

Having a documented overview about the entire inventory (computers, furniture, etc.)

Be part of the onboarding process (e.g. handling over laptop, setting up table for new hire, complete PMRF and Philhealth form etc.) and handle anything in regards to DOLE (Department of Labour and Employment)

Keeping track of various types of insurance policies, office and copier lease and any other lease

Taking care of the working hours of the employees, as well as secretarial or legal matters jointly with Singapore team

Booking flight tickets, arranging hotel accommodation for employee’s business travel, as well as responsible for visa topics
- Performing various administrative function and reception duties, answering phone calls, serving tea or coffee to guest/clients, supervise company cleaner and handle simple HR matters (guided from Global HR)
What you can contribute:
- The ideal candidate must have at least 1 year of experience as a receptionist
- Must be able to work on different project teams (i.e. export and import sea, air and road freight forwarding activities) and in a fast-paced office
- Good communication, attention to detail, and organizational skills required
- Candidate must possess a strong teamwork attitude
- Candidate must be PC literate with MS Office applications.
- Adhere to all company policies in areas of Compliance, QHSES, Code of Business Conduct, Employee Handbook, etc.
- Ability to read and interpret documents such as procedure manuals, work instructions, software manuals. Ability to write routine reports and correspondence.
- Ability to speak and communicate well with customers, as well deal with problems involving several concrete variables in standardized situations
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form

Must be able to input and retrieve data
- Manage company vehicle keys and reservation calendar
